Privacy and Health Information (HIPAA) Policy

Introduction and Purpose
Mangohick Volunteer Fire Department Inc. ("MVFD") is committed to protecting the privacy and security of personal information and Protected Health Information (PHI) that we may collect, use, or encounter in the course of our operations, including emergency response, training, and administrative activities.
Information We Collect
Personal Information: Name, address, phone number, email address, date of birth, volunteer applications, donation information, event registration, and website usage data.
Protected Health Information (PHI): Health information related to emergency medical services, treatment records, and other health-related data encountered during our operations.
How We Use Your Information
Personal Information: Managing volunteer records, processing donations, community communications, organizing events, administrative purposes, and legal compliance.
PHI: Emergency medical treatment, coordination with healthcare providers, payment for services (if applicable), healthcare operations, and as required by law.
Information Sharing
MVFD does not sell personal information. We may share information only with consent, with service providers under contract, when required by law, in emergency situations, or to protect rights and safety.
HIPAA Compliance
As an emergency medical services provider, MVFD follows HIPAA standards for all PHI. We implement administrative, physical, and technical safeguards to protect health information and honor patient rights including access to records, amendment requests, and confidential communications.
Your Rights
You have rights regarding your PHI including: access to your health records, requesting restrictions on use/disclosure, requesting confidential communications, requesting amendments, and receiving an accounting of disclosures.
Data Security
We implement reasonable administrative, physical, and technical safeguards to protect all personal information and PHI from unauthorized access, use, or disclosure.

Complaints
You may file complaints about privacy practices with our Privacy Official or with the U.S. Department of Health and Human Services, Office for Civil Rights. No retaliation will occur for filing complaints.
Policy Updates
This Policy may be revised to reflect changes in legal requirements or MVFD operations. The current version will be available upon request.
